Ground AI Answers in an Approved Knowledge Base
Prepare a trustworthy knowledge collection and evaluate whether AI answers cite relevant, current evidence while admitting when the answer is missing.
Define the knowledge boundary
Choose which questions the assistant should answer and which sources are authorized for those answers. Start with a coherent collection, such as approved project operating procedures, rather than every document the organization has. Record owners and review dates. A retrieval workflow can surface old or conflicting material efficiently; it does not make that material correct or resolve authority by itself.
Improve source structure
Give documents descriptive titles, clear sections, and explicit version or effective-date information where relevant.
