Draft a Project Status Update with ChatGPT
Turn approved project notes into a concise status draft while preserving dates, uncertainty, and decision requests for a human reviewer.
Assemble the facts first
Collect the reporting period, completed outcomes, upcoming work, issues, risks, and decisions needed. Label forecasts and confirmed dates separately. Use only material your organization permits in the tool, and remove unnecessary personal or confidential details. ChatGPT can help organize the writing, but it cannot recover missing project facts reliably. A good source note is more valuable than an elaborate prompt built around incomplete information.
Give the draft a clear job
Try this original prompt: “Using only the notes below, draft a project update for the sponsor. Use headings for progress, next steps, risks and issues, and decisions needed. Preserve all dates and uncertainty. Do not invent owners, percentages, or commitments. Mark missing information as not provided. Keep the update under 250 words.” Add the approved notes in a clearly separated section after the instructions.
Review the decision requests
Check that every request identifies the choice, responsible decision maker where known, and required timing. A vague “support needed” can survive several rounds of polishing without becoming actionable. Use the sponsor decision-brief guide for a more substantial tradeoff. If the notes lack options or impact, obtain those facts from the project team rather than asking the model to make the request sound complete.
Compare the draft with the source
Verify names, dates, numbers, dependencies, and any change in certainty. Watch for a forecast becoming a promise or an unresolved issue disappearing from a short summary. The AI summary quality check provides a repeatable review method. Revise the prompt when the same error recurs, but keep reviewing; a well-written instruction is not a guarantee of faithful output.
Publish through the normal process
Have the responsible project owner approve the final update and share it through the agreed channel. Retain the source notes or evidence links where your reporting process requires them. Compare total drafting and review effort over several updates before claiming a saving. The weekly status-report guide remains the underlying reporting method; ChatGPT assists with preparing the text.
